Immigration, Refugees and Citizenship Canada (IRCC) officially relaunched and updated its Application Status Tracker in mid-October 2026. This modernized platform allows applicants and their representatives to accurately monitor the progress of their immigration files. Gone are the days of systematically ordering Access to Information (ATIP/GCMS) notes or calling the IRCC client support centre just to find out where an application stands. This tool now offers increased transparency for many temporary residence, permanent residence, and citizenship categories.

What Changes with the New Tracking Tool

The main improvement lies in the level of detail provided to users. The Application Status Tracker now divides the file assessment into four distinct sections, allowing you to understand exactly where the processing is at:

  • Eligibility: Verification of the basic criteria for the chosen program.
  • Medical exam: Status of the receipt and validity of medical results.
  • Background verification: Security and criminality checks.
  • Biometrics: Receipt and validity of fingerprints and photo.

For each of these four sections, the system displays a clear progress status:

  • Not started: The officer has not yet begun this step.
  • Waiting on you: An action or document is required from you.
  • In progress: The assessment of this section is actively being processed.
  • Completed: The step is validated and finalized.
  • Exempted: This step does not apply to your specific situation.

In addition to these details, an overall status is visible at the top of the page. It indicates whether the application is "Received," "In progress," or "Closed" (which includes approval, refusal, withdrawal, or abandonment). The tool also specifies the status of specific documents linked to the file, such as the confirmation of permanent residence, work permit, study permit, or visitor visa. A major advantage of this new system is that profile data is updated daily by IRCC.

Who is Affected by This Update

The new tracking tool covers a wide range of immigration programs, making life easier for many candidates.

For Temporary Residence:

  • Work permit applications.
  • Study permit applications.
  • Visitor visa / Temporary Resident Visa (TRV) applications.

For Permanent Residence:

  • Streams managed by the Express Entry system (Federal Skilled Worker Program, Canadian Experience Class, Federal Skilled Trades Program).
  • Provincial Nominee Program (PNP) streams aligned with Express Entry.
  • Family reunification, including the sponsorship of a spouse, common-law partner, conjugal partner, or dependent child.

For Citizenship:

  • Adults and minors applying for a grant of Canadian citizenship.

Exceptions and Limitations: Certain programs are not supported by this new tool. Parents and Grandparents Program (PGP) sponsorships, as well as several paper-based economic categories or those not aligned with Express Entry, must still be tracked via the old Client Application Status (CAS) tool or the IRCC secure account. Furthermore, the tool excludes certain citizenship applications, notably for Canadian Armed Forces (CAF) personnel, adopted children born abroad, resumption, renunciation, proof of citizenship, and search of citizenship records.

What You Need to Do to Access Your File

To use the Application Status Tracker, several conditions must be met.

1. Wait for the Acknowledgement of Receipt (AOR) It is impossible to create an account or track an application until you have received an official Acknowledgement of Receipt (AOR) from IRCC by email or letter. This document confirms that your application has been received and deemed complete for initial processing.

2. Create an Account and Log In To set up your access, you will need your Unique Client Identifier (UCI) and your application number. Logging in is done securely via GCKey or a Sign-In Partner (authorized Canadian financial institutions), and requires multi-factor authentication.

3. Access for Representatives Regulated Canadian Immigration Consultants (RCICs), lawyers, and other designated third parties can access their clients' file tracking. To do this, the appropriate legal authorization form (Use of a Representative [IMM 5476] or Authority to Release Personal Information to a Designated Individual [IMM 5475]) must already be registered and compliant in IRCC's IT system.

4. Distinction from Visa Application Centres (VACs) If you submitted documents via a VAC (such as VFS Global), note that the tracking number provided by the VAC is only used to locate the physical transit of your passport or envelope. It does not provide access to the detailed status of IRCC's internal processing. For that, you must use the official IRCC online tracking tool.
